Recommended Settings for UAS Email

Campus Users

(For Faculty and Staff the Juneau, Sitka & Ketchikan campuses)

Outlook

Please contact the Helpdesk to be transitioned to Outlook Exchange.

Those who are interested in early adoption of Outlook, please call the Helpdesk to coordinate the effort. There are many unique variables that make step-by-step documentation difficult. The items listed below are the essential settings recommended by IT Services. Depending on your computing environment, some of these settings may be grayed out or hidden due to pushed campus policies. 

Provided this is the first time you have opened Outlook, you can follow these essential steps:

  1. Have your computer transitioned to the UA Domain (contact the Helpdesk to do this).
  2. Open Outlook. Being on the UA Domain will enable your computer to automatically populate settings for Exchange.
  3. Configure the following additional settings:
    • Disable "Use Cached Exchange Mode" (Tools -> Account Settings... Choose Exchange account, click Change > Uncheck Cached Exchange Mode. Restart outlook when completed.)
    • Enable "Send immediately when connected" (Tools -> Options... chose Mail Setup tab and check "send immediately when connected")
    • Disable "Use Microsoft Office Word to edit" (Available in Outlook 2003 only: Tools -> Options... choose Mail Format tab)
    • Allow comma as address separator (Tools -> Options... choose Preferences tab, Email options button, Advanced Email Options button...)
    • Disable AutoArchive (Tools -> Options... choose Other tab, AutoArchive button, uncheck "Run AutoArchive...")
    • Disable Outlook Junk Mail Filtering (This should be automatically disabled after changing turning off "Cached Exchange Mode)
IT Services is still working through the complexities of transitioning users from Thunderbird to Outlook. For the time being, please leave your local mail stored in Thunderbird for reference, and ONLY use the Exchange/server folders within Outlook to prevent the inadvertent loss of data.

Shared Accounts

Webmail

To access your shared email account, please use the following link to use webmail for the shared account: 

http://mail.uas.alaska.edu/owa/SHARED-ACCOUNT@uas.alaska.edu

where "SHARED-ACCOUNT" is your shared account email address.

I.E. http://mail.uas.alaska.edu/owa/helpdesk@uas.alaska.edu

Outlook

If you are working in Outlook, please use these settings: 

If you have a departmental shared account you can add it to Outlook through these steps: 
  1. Go to Tools > Account Settings... 
  2. Under the Email tab, choose the your "Exchange" account, click Change... 
  3. Click More Settings... 
  4. Click the Advanced tab
  5. Click on the Add button, enter your shared email account ("helpdesk", "admissions", "career services", etc.) and then click OK.
  6. Click next and finish to close the wizard to return to Account Settings panel.

Home users

Connecting to the mail server via Exchange is ideal but cumbersome. As IT Services works to develop best practices, please continue using webmail (http://mail.uas.alaska.edu) or connect with Thunderbird using an IMAP connection. 

Essential Thunderbird Settings:

  • Protocol/Connection type: IMAP (Note: do not choose POP3)
  • Incoming Mail Server: mail.uas.alaska.edu
  • Outgoing Mail Server: mail.uas.alaska.edu
    • Note: Outgoing server requires authentication

Essential Outlook Settings: 

For those who wish to use Outlook from home, please consider using the Outlook Web Access (webmail). The configuration of Outlook can be challenging to assure all settings are properly set. 

VPN is required to connect to the Exchange Server and to have much of the added functionality that Outlook provides. Once connected to VPN, please refer to the above settings for campus users. 

Travelling Users

For those travelling, the webmail solution will be the most reliable option and can be accessed from any computer with web access requiring no additional configuration:
