Mail

All residents are provided with a personal mailbox in the Lodge foyer. Families will be assigned one shared mailbox per rental unit. Mailboxes are not to be labeled or decorated. The mailing address for all residential mail in student housing is:

Apartment and room numbers need not be specified. All student mail is kept in a secured location until it can be sorted into individual mailboxes. Residents should expect personal mail to be sorted daily by the end of the business day. However, it is necessary to allow for some fluctuation in mail availability time due to unpredictable delivery time by the U.S. Postal Service and personal schedule changes of the Residential Mail Clerk. Students may check their mailbox 24 hours a day. Students employed by the Office of Residence Life will have mailboxes behind the Lodge Desk assigned to them. Lodge Staff will not respond to telephone calls requesting that the Attendant let the caller know if he or she has received mail.

Students are responsible for the security of their mailbox key. Mailboxes cannot be traded informally between residents. Lost keys must be reported on a Lost Key Form to maintain security of one’s mail, available at the Lodge Desk. Students who repeatedly ask to have their mail checked for them due to an absent mailbox key will be charged the $25.00 mailbox key replacement fee and have their mailbox re-keyed. An outgoing mail slot is located on the bottom right corner of the singles’ mailbox bay in the Lodge entry. Stamps are available for sale at the Lodge Desk.

Internal Mail System

Inter-departmental mail can be deposited at the Lodge Desk in the appropriate envelopes. The proper campus mail stop address must be included on the envelope. Mail or messages that a resident wishes to have delivered to another resident in student housing can be brought to the Lodge desk and designated as “Intra-Housing Mail.” All mail received for residents via inter-departmental or intra-housing mail will be delivered to their mailbox.

Packages

Packages will be logged and locked in the mail room unless the parcel is small enough to be placed directly into the recipient’s mailbox. The recipient will receive a package slip in his or her box, which can be brought to the Lodge Desk during business hours. Packages that have not yet been logged by the Residential Mail Clerk cannot be delivered; Lodge Desk Attendants are not permitted to log packages or to sort mail for security reasons. Residents must sign for all packages before they will be retrieved. University of Alaska paychecks and certified envelopes will also be logged as packages as an additional security measure. UPS and FedEx deliver separately to the Lodge Desk, typically in the late afternoon.

Outgoing packages sent US Mail cannot be mailed from the Lodge, but must be brought directly to one of the post offices in town. Residents may arrange a UPS or FedEx pickup at the Lodge by arranging it with the Residential Mail Clerk before scheduling a pickup time. To obtain urgent packages after hours, call the CA cell phone. Residents who insist that a package has been tracked as delivered to the Lodge but has not been made available to them must submit confirmation of delivery documentation to an administrator. Lost package claims can also be filed with an administrator.

Misdelivered and Unwanted Mail

Any student who receives misdelivered mail in his or her mailbox can return it to the Lodge Desk. Please do not leave misdelivered mail lying in the Lodge foyer. Any unwanted mail can be discarded or recycled at the recipient’s discretion. Unwanted magazines (not catalogues) can be shared with others by depositing them in the magazine rack by the door to the Lodge Desk or in the Banfield Hall lounge.

Mail Forwarding and Holding

Mail received for non-residents will be returned to sender unless the addressee is a former student housing resident, having vacated within the previous 90 days. Mail can be held for up to 30 days for current residents or for those who are in transition between the university mailing address and a new one. Students who are ending their housing agreement and moving off-campus will specify a forwarding address during the checkout process. Any changes to the forwarding address must be sent to the Residence Life Manager in writing, signed and dated. Mail will be forwarded to former residents for 90 days, at which point the individual will receive notice that the forwarding service will discontinue within 14 days from the date of the notice’s printing. After that date all first-class mail and packages will be returned to sender.

Over the summer, students who have signed a fall agreement will have their mail forwarded to a summer address that they provide upon checkout. Students who have signed an agreement for the fall but who are not residing on campus may rent a mailbox in housing for $35 for the summer session with the approval of the Residence Life Manager.
