Eligibility and Rental Agreement

Residency on the UAS campus is offered to any student who meets basic eligibility requirements and who completes all administrative requirements for housing registration, as space permits. Students will not be reserved a space in housing until all of the application materials have been received and approved by the Housing Office. These include the housing application, placement profile (or family eligibility profile), signed agreement, security deposit, and immunization records.

Student Status

Applicants must be enrolled in a minimum of 12 credits for the semester during which they intend to reside on campus, unless the Housing Director announces otherwise in any given year. Residents must maintain that minimum credit load throughout the semester and are expected to maintain a minimum GPA of 2.0 to remain eligible for on-campus housing. The Housing Office conducts periodic GPA and credit load checks for all residents. Students who do not maintain these academic requirements will be notified in writing of their ineligibility and given a deadline by which to appeal to the Residence Life Manager in writing before their housing agreement is terminated.

Student Conduct Record and Criminal History

Applicants and current residents must remain in good standing with the Office of Residence Life and with the Campus Judicial Committee. Disciplinary infractions and conduct transgressions may constitute reason for a housing agreement to be denied or terminated. Additionally, UAS seeks to assimilate a residential community in which all members feel safe, secure, and unthreatened by peers and neighbors. Applicants are required to declare criminal charges on the housing application form. Informal criminal background checks are conducted for applicants, and those found to have been untruthful about their criminal history will have their agreements terminated immediately.

The university reserves the right to deny campus housing to any applicants who have been charged with aggravated assault, domestic violence, sexual assault, child neglect, illegal weapons possession/use, or any other charge that indicates that the individual caused harm or considerable danger to others.

Deposit

A refundable $200.00 security deposit is required of all housing applicants. The deposit will be held by the Housing Office for as long as the resident indicates intent to return to campus housing in the following term. When a resident formally checks out of housing and indicates that he/she will not be returning, the deposit will be mailed to the forwarding address indicated by the resident, less any final housing charges that have been applied to the student’s account. These charges may include lost key costs, improper checkout fees, cleaning fees, damages, or nightly rental charges that may be incurred if the resident does not vacate the unit by the designated contract end date. An applicant who cancels his/her agreement prior to assuming residency may lose the deposit if the cancellation is made fewer than two months prior to the agreement start date, or by such a date stipulated in the housing agreement.

Immunizations

Students must provide proof of the required immunizations prior to being placed in student housing, and then must update their immunizations as necessary during the extent of their residency on campus. A completed Record of Required Immunizations form must be completed by a physician or clinician, or vaccination records showing proof of all required immunizations must be submitted for approval of the on-campus clinician. Returning residents must renew their TB skin test annually to remain eligible. The Housing Office will notify continuing housing students whose TB tests have expired, and failure to provide proof of a current TB test will result in termination of the student’s housing agreement.

Meningitis is a risk for any college student who lives on campus due to the close proximity they share with their neighbors. For this reason, residents are encouraged to be vaccinated for meningitis, though it is not currently a requirement.

Housing Agreement

The UAS Student Housing Agreement should be considered a binding contract between the university and the individual student. All conditions of residency, eligibility, rental costs, and penalties are outlined within the agreement. This agreement serves the student by guaranteeing him/her on-campus housing at a set rate for a predetermined length of time, to coincide with the academic calendar of the university. The agreement also serves to protect the university in the case that the lessee, or student, violates rental and eligibility stipulations, cancels with short notice, or vacates the unit mid-semester when the university will then be unlikely to find a replacement tenant. All appeals related to agreement termination and penalties must be addressed in writing to Tish Satre, Director.

Cancellation

All pre-session agreement cancellations must be made to the Housing Office in writing. For full academic year contracts, cancellations made before July 1 will result in a refunded deposit with no penalty. After July 1 and prior to August 1, cancellations result in the forfeiture of the security deposit. Cancellations made after August 1, or failure to assume occupancy or notify the Housing Office of a postponed arrival, result not only in forfeiture of the deposit, but also in a $400 contract break fee.

Vacating

Full semester housing charges apply to those who vacate the rental unit after the rental period has begun and after the resident has assumed occupancy.

Release from the Agreement

Residents will be released from their housing agreement and penalties in the following instances:

  • Withdrawal from UAS
  • Marriage or divorce
  • Active military duty
  • Death in the immediate family
  • Illness or other situation which precludes the student from attending classes
Departmental Termination of the Agreement

Housing agreements can be terminated by the Residence Life Manager or the Director as a result of judicial hearings, criminal activity, or when the student has demonstrated that he or she is a potential risk of inflicting physical harm to him/herself or others. Additionally, agreements may be terminated on the basis of non-payment, insufficient credit load or GPA, or failure to provide proof of current immunizations.
