Summer Youth Camps
UAS Summer Conferencing Services wishes for all guests to have a positive experience on campus with both their meeting and housing accomodations. For groups hosting minors, this means ensuring that youth participants are adequately supervised, and that the "out-of-class" experience is structured yet engaging.
All camps or conferences focused on youth participants under the age of 18 will therefore be assessed a youth camp adminstration fee (YCA), in addition to their housing rental costs in Banfield Hall, which provides the group with up to one professional and three paraprofessional live-in staff members who will serve as chaperones, activities directors, and conflict mediators. These Camp Advisors will liaise with the Conference Group Director of the facilitating organization to discuss activities, disciplinary practices, and other supervisory issues.
Banfield Hall
Banfield Hall is a three-story residence hall built in 1996 that serves nicely for youth camp conference groups in the summer. This facility with 74 bedspaces is available in suite-style arrangements.
Each suite contains: 
- Funrnished double occupancy rooms adjoining a neighboring room by a common entryway
- Mini refrigerator
- Microwave
- Private bathroom
Amentities and resources:
- Two lounges
- Small TV room with DVD player
- Coin-op laundry facilities
- Linen exchange offered weekly
- Electronic access for entrance, video cameras, and security guard provide 24-hour security
- Bed linens, towels, and toilet paper provided
Youth Camp Administration (YCA) Fee
In addition to the housing rental fees, youth groups with 10 or more attendees will be assessed a $5.00 charge per guest, per night, for all youth participants. The minimum charge will be for 10 attendees, and the maximum charge will be for 30 attendees, so that groups with more than 30 attendees will only be assesssed the YCA fee for the first 30 participants.
*Adult chaperones or mentors attending the camp with the youth participants will not be charged this fee.
Chaperone Requirements
Minors (under the age of 18) participating in educational programs or camps on the UAS campus, whether facilitated by the university or by an external business or organization, must meet minimum chaperone requirements at all times.
- Chaperones must be provided at a ratio of one chaperone per 10 youth.
* Because all youth camps must pay the YCA fee, three chaperones wil be provided by UAS Conference Services, so youth groups with 30 or fewer minors are not required to have any additional adults staying in UAS Student Housing.
- For groups with more than 30 attendees, the organizing group must provide additional chaperones at the 1:10 ratio
- Chaperones must stay in the same rental unit as the youth they intend to supervise.
- Chaperones must be at least 21 years of age.
Youth Camp Services
The YCA provides the conference group with three Camp Advisors (CAs), who will live in Banfield Hall with the youth attendees and serve as chaperones. The conference group will submit a Youth Camp Programming Form prior to their arrival that will enable Summer Conferencing Staff to work with the organizing entity to plan activities, team-building exercises, and developmental experiences that complement the camp's intended purpose and mission.
Qualifications of Camp Advisors (CA's):
- First Aid & CPR/AED certified
- Completion of training program
- Above age 21
- Successful background check
Responsibilities of Camp Advisors:
- Plan and facilitate activities selected by the conference group
- Enforce curfew and quiet hours decided by group's Director
- Provide 24-hour on-call mediation
- Provide personal support and referrals for wellness & health issues and crisis management
These paraprofessional staff members report to the Residence Life Manager but will work with the conference group Director to make sure that his/her preferences and goals for the extracurricular and residential life portion of the camp are accommodated.
Motor Pool Use and Transportation
Youth camp groups will have the privilege of scheduling off-campus excursions with the Camp Advisors, who will be available to drive attendees to such activities once per day. Staff may be available to arrange transportation to and from the airport or ferry terminal. UAS Conference Services has one 12-passenger van and one 9-passenger vehicle available for this use.
CAs will not provide shuttle service to and from the main campus or to the Student Recreation Center unless special permission is granted by the Residence Life Manager. No chaperones who are not university employees will be permitted to operate university vehicles.
Student Recreation Center Use 
The UAS Student Recreation Center (REC) contains:
- Full-sized gymanasium
- Dance studio
- Rock-climbing wall
- Game room
- Suspended indoor running track
- Classrooms equipped with tables, wipe-off boards, and projectors.
The weight room may not be used by any individual under the age of 18. CAs or other chaperones may escort campers to the REC. Youth camps wishing to utilize the REC during their stay on campus may pay the following youth rates:

Adminstrative Procedures for Youth Camp Registration and Check-In
After reservations have been made and the Group Reservation Form and the Youth Camp Programming Form have been submitted to UAS Conference Services, facilitating organizations or businesses that are external to the university must provide the Conference Services Office with copies of the following:
- All application forms
- UAS liability waivers for each camp attendee
- Hold harmless agreements generated by the host organization
- Release forms that are intended to be sent to parents/guardians of camp attendees.
The UAS
Residence Life Manager will review the form(s) and may request that the forms(s) be modified to include a waiver for the activities intended for the group while on the UAS campus, and/or that an additional hold harmless agreement be completed by camp attendees' parents to protect the university and its staff.
Prior to check-in, the conference Director will be provided with a floorplan for the assigned rooms to be used for the camp. He or she may assign names to the rooms and return the rooming assignments to UAS Conference Services, or request that campers be assigned rooms by the staff.

Keys will be prepared and turned over to the conference Director upon check-in, to be distributed to individual campers. The conference group will be held financially responsible for lost keys.
Conference Directors are expected to provide finalized group numbers no later than one week prior to the group's arrival; additional time will allow for better preparation of activities and housing placement.
There may be more than one youth camp in Banfield Hall at one time, so campers are expected to share the facility if they do not occupy the entire building. Cancellations must be made a minimum of two weeks prior to the check-in date, and all cancellations not made prior to one month before the camp start date will result in a charge for the first night's rent and the first night's Youth Camp Administration fee.
Conduct and Discipline
Disciplinary action for minor disruptions, disrespect of the facility or other campers, and unruly behavior will be addressed by the loss of privileges, early curfew, or other mild sanctions as agreed upon by the Conference Director and the Camp Advisors. Minors will be housed within same-gender suites and overnight cohabitation is not permitted.
Campers must:
- Follow all policies outlined in the reservation forms.
- Comply with all instructions of Camp Advisors and other UAS staff.
- Follow curfew and/or lights out times, agreed upon by the Conference Director and the Camp Advisors.
For any camper unwilling to comply with UAS staff or abide by UAS Residence Life Policy, the Conference Group Coordinator may be asked to arrange for the attendee to be housed off-campus or to return home at the expense of the parent/guardian or the conference group. Local law enforcement may be contacted to address any illegal behavior that may occur within the UAS Student Housing complex, including theft, vandalism, or underage alcohol/drug use.
